Every business has at least one task that eats hours every single week and never gets easier: checking insurance coverage before appointments, typing the same information into two places, chasing quotes that never got answered, copying details from voicemails into the computer, sending the same reminder texts by hand. It is not hard work. It is just work that never stops coming.
A custom system is that task, done for you. You walk us through it once, the way you would train a new hire. We build a system that does it the same way, every time, without being asked. And every week you get a plain report of what it did: the tasks completed, the hours that used to take, and what those hours were costing you.
How to know if a task is a candidate
The test is simple: do you do it the same way every week? If you can explain the steps to another person, a system can usually follow the same steps. The tasks that qualify are almost always the ones owners describe with the words "boring", "annoying", or "I do it Sunday nights so it does not eat the week".
- Checking insurance or benefits coverage before appointments
- Typing the same info into two different programs
- Following up on quotes and estimates that went quiet
- Copying voicemail or form details into your booking system
- Sending appointment reminders, review asks, or re-booking nudges by hand
- Weekly reports you assemble by copying numbers around
How it works
First, a short call where you show us the task, step by step, exactly the way you do it today. That is the whole discovery process. No paid audit, no workshop, no homework.
Then we tell you, straight, whether it can be automated well. Some things cannot be, and we say so on the spot rather than build you something that does not stick. If it can be done, we build it, test it against your real work, and turn it on.
From then on the task runs itself, and you get a weekly report of what the system did: work completed, hours saved, and what those hours used to cost you. You never have to take our word for whether it is earning its keep. The report shows it.
What it costs
A one-time build fee sized to the task, then a flat monthly to run it, maintain it, and send the weekly report. The number depends on what we are building, so it is said out loud in the scoping call, not printed on a website. Scoping is free and takes about 15 minutes.
Common questions
Can you guarantee my task can be automated?
No, and we will not pretend otherwise. Some tasks depend on judgment calls, phone trees, or systems that do not cooperate. We look at exactly how you do it and tell you straight, before you pay for anything. If it cannot be done well, we say so.
Do I need to understand the technology?
No. If you can explain the task the way you would train a new hire, that is all we need. You will never manage software, dashboards, or logins unless you want to. The weekly report is written in plain English: what got done, hours saved.
What happens when something changes, like a new insurer or a new form?
That is what the monthly covers. A person maintains your system, so when the world around it changes, we adjust it. If it breaks, fixing it is our job, not another thing on your plate.
Do I have to start with the phone agent?
No, but most clients do, because missed calls are the easiest leak to measure. If the boring work is your bigger pain, bring that task to the 15-minute call and we start there instead.
