Submit your own website form. If you run ads, click your own ad and fill out the form like a customer would. Start a timer. How long until a human or a system responds?

Leads go cold fast. Research consistently shows that responding within the first few minutes multiplies your odds of a conversation; by the next morning the lead has usually talked to someone else. Most businesses reply the next day, if at all.

Every form fill and ad lead gets a response within five minutes, every time, including evenings and weekends. Even a simple automated text that starts the conversation beats a perfect reply tomorrow.
3.Follow-up depth

Pull up the last five quotes or inquiries that never replied. Count the touches: how many times did anyone follow up before giving up? Most businesses stop at one.

These are people who already chose you, paid you, and trust you. Reaching them costs almost nothing compared to buying a new lead, yet at most businesses the list just sits there while the marketing budget goes to strangers.
What good looks like
A standing reactivation rhythm: a simple, personal message a few times a year with a real reason to come back. Even a small response rate on a few hundred dormant customers is meaningful revenue.
5.Review velocity

Look at your last 10 completed jobs or appointments. How many of those customers were asked for a review? Was the ask systematic, or only when someone happened to remember?
Why it leaks money
Reviews are the strongest local ranking and trust signal you control. If you only ask when someone remembers, your profile grows slower than the competitor who asks every customer, and that gap quietly costs you everyone who chooses off Google.
What good looks like
Every happy customer gets a review ask at the right moment, automatically, while the visit is fresh. Unhappy customers get routed to you privately first, so problems get fixed instead of published.
